Lesson Card in Advance, for Example Ten Lessons

Parents pay €150 at once for ten lessons and you have your money before the first lesson starts. You attach a validity period, for example six months, so a lesson card does not run on for years. This is the form that requires the least administration and that parents understand well, because they are used to the same from a strip card at the hairdresser or a ten-ride card in public transport.

Monthly Subscription

A fixed amount per month, automatically renewed until the parent cancels. Predictable revenue, but the debit fails repeatedly with the same parents. Solve this with an announcement before the debit, a payment reminder on failure, and an explicit cancellation agreement in your terms.

Course per Block of Ten or Twelve Weeks

The Payment Term You Agree On

You Decide the Term for Consumers

Parents are consumers, and in the Netherlands there is no statutory payment term for consumers. So you decide how many days there are between the invoice and the due date. That term must be reasonable. Record it in your general terms and conditions, in the confirmation of registration, and on the invoice, so you never have to argue about what was agreed (KVK, updated September 21, 2026).

Fourteen Days Is the Term That Requires the Least Explanation

Fourteen days is most common in the Netherlands and short enough to keep your cash flow healthy. If you choose thirty days, that is allowed, but the rest of your process must be built around it: a reminder on day ten and a second on day twenty-five. One payment moment per month for all groups is the calmest, for example the 25th of the month for the next month.

Request a Deposit or Have the Package Paid in Advance

For services, there is no statutory maximum for a deposit, unlike for product sales where fifty percent is the limit. You may therefore ask parents to pay the entire lesson package in advance, as long as you make that clear upfront and do not add an extra amount halfway through. Put that agreement in your terms and conditions and not in a message that parents might lose later.

Invoice on Time, Because a Late Invoice Means Late Money

Send an invoice immediately after the month or block is completed. Anyone who invoices only halfway through the next month waits for money that is almost forgotten. For your administration, you must invoice no later than the fifteenth day of the following month.

Eight Weeks to Reverse, Thirteen Months Without Valid Authorization

A consumer may reverse a debit within eight weeks without giving a reason. Without valid authorization, that right extends to thirteen months via a claim of unauthorized debit. So make sure your authorizations are in order: the sloppier you record them, the more debits you get back.

You must inform parents before the debit about the date and amount. This is not only an obligation, it is also why some debits fail: an unannounced debit is more often blocked. Step 1: First a Reminder, No Collection Agency

For consumers, you must first send a free reminder before you may charge costs. So never charge reminder fees or administration costs, even if the parent is weeks overdue (Ondernemersplein). Start with a friendly message of two sentences: the amount, the new term, and the question if something is going on. Often it is a forgotten transfer or a tight month.

Step 2: The Reminder with Fourteen Days

The reminder states that the parent has fourteen days from the date of the letter, and how high the costs will be if there is no response. Without that letter, you may not charge anything extra. If you send it, the term officially starts and you have something in hand if it later goes to a collection agency (Juridisch Loket).

A payment arrangement is usually arranged faster than a reminder. Spread an outstanding amount over two or three months, record the agreement in writing, and attach a date on which both parties can review. You lose a few weeks, but you keep the student and the tuition fee. Also point parents to the Youth Fund for Sport & Culture before sending reminders.

Step 5: Pause Lessons or Cancel the Spot

If after a reminder and an arrangement nothing happens, removing the child from the group is the last resort. That is only allowed if you have recorded in advance after how many weeks of arrears the right to lessons expires and what happens with the freed spot. In the same terms, also state what happens with already paid lessons. Without that agreement, you are legally weak and lose a parent who maybe only needed a nudge.
